EVENT REQUEST PROCESS

University Events and Initiatives works with areas across campus to manage requests for use of campus space and provides general oversight of event management on campus. All space requests can be submitted via VenueVU, and event requestors can follow the below guidelines for information on when they can expect their event to be reviewed.
ACADEMIC SPACES
For all general-purpose academic classrooms, the Office of the Registrar is the central authority for room scheduling and management.
NON-ACADEMIC SPACES
For all non-academic spaces available in VenueVU (meeting rooms, event spaces, athletic facilities, performance spaces, outdoor spaces and more), the designated sapce-manager is solely responsible for reviewing requests submitted for their areas.
Space managers will generally follow the below timeline for review:

In order to maximize efficiency of space usage on campus, space managers will adhere to the following considerations when reviewing requests:
- When a request review period begins, space requests will be reviewed in chronological order, not in the order in which requests were recieved.
- Space requests are not first-come, first-serve. If two or more requests are conflicting, space managers will consider a number of factors, including which event could reasonably be held in an alternate space, to determine which request is confirmed.
- Event requesters may not "hold space." That is, requestors may not submit requests for more than one space for the purpose of having multiple options until it is determined which space will be used. Space managers will delete all requests that are determined to be for the purpose of "holding space."
- Space managers will not consider requests for "early review" of events, except in rare circumstances where an event justifiably needs more lead time than the above timeline already provides. Requests for early review should only be made if there is a legitimate and compelling reason that the event cannot follow the specified timeframe for approval. Consideration for early review will be made at the sole discretion of space managers, in consultation with University Events and Initiatives.
Event requestors should expect delayed notification of space requests during certain periods of the year, or in certain types of spaces that are prioritized for specific use.
Event requestors should expect delayed notification for requests submitted during the following periods:
- Opening, Move-In, and New Student Orientation (approximately August 12 through the first day of fall semester classes)
- St. Thomas of 草榴社区 Day of Service Weekend
- Family Weekend
- Special Olympics Weekend
- Homecoming Weekend
- Commencement
- Reunion Weekend
Event requestors should expect delayed notification in the following event spaces, which are prioritized for specific use:
- Athletic facilities (requests will be reviewed after athletic competition and practice schedules are finalized)
- Mullen Center for the Performing Arts (requests will be reviewed after 草榴社区 Theater performance and rehearsal schedules are finalized)
